FAQ

Every question owners ask us

Straight answers, no sales gloss. If yours isn't here, email hello@vouchtrack.com or book a call — a person will answer either way.

Getting started

What exactly is VouchTrack?

A done-for-you review and reputation service for local businesses. We automatically ask every customer for a review after their visit, answer every review that comes in (AI-drafted, human-approved), monitor 85+ review sites, put your best reviews on your website, and send you a monthly report card. You run your business; we run your reputation.

How long does setup take?

One onboarding call of 30–45 minutes. We connect your review profiles, wire into your booking or invoicing tools, and write your message templates in your voice. Requests typically start going out within your first week.

Do I need to be technical, or have a marketing person?

No. VouchTrack was built specifically for owners without an IT department. We do the setup, the running, and the reporting — your job is a monthly two-minute read.

What do you need from me?

Access to your Google Business Profile (a two-minute grant we walk you through), an idea of how customers flow through your business, and how you like to sound. That's it.

What happens on the free demo call?

Fifteen minutes: we pull up your Google profile next to your closest competitor's, show you the exact gap in rating and review count, and explain what we'd do about it. If it's not a fit, we'll tell you that too — and you keep the analysis.

How it works

How do review requests get sent?

By text, email, and a QR code for your counter — timed for shortly after each visit, when customers are happiest, with at most one gentle reminder. Mobile links open the Google review box in one tap. More on review requests.

Will this work with my booking or invoicing software?

Almost certainly. If your system can send an email — a receipt, an invoice, an appointment confirmation — we can trigger requests from it automatically. And if you have no system at all, a simple customer list works.

Who writes the replies to my reviews?

AI drafts each reply in your voice — specific to what the review actually says — and a human approves it before it posts. You can also choose to personally approve replies to negative reviews. More on replies.

What happens when I get a negative review?

You're alerted immediately, and it gets a calm, professional reply that takes the conversation offline — written for the future customers reading it. Better yet, our private feedback flow catches most problems before they become public reviews at all.

Can VouchTrack remove bad reviews?

No one can promise removal — be wary of anyone who does. Where a review clearly violates a platform's rules (fake, spam, wrong business), we flag and report it through the proper process, and it also gets a professional public reply so you're covered either way.

Will my customers know I'm using a service?

No. Every text, email, and reply goes out under your business name, in your voice. VouchTrack is never mentioned anywhere your customers can see.

AI visibility

Nobody finds my business through ChatGPT. Why does this matter?

That is the right question, and the honest answer is that it depends on your town and your trade, which is exactly why we measure it rather than assume it. What is not in dispute is the direction. Google now puts an AI answer above the results, and the work that earns an AI recommendation takes months, so the time to start is before it decides your bookings.

How do you actually change what AI says about my business?

Three levers. Your Google Business Profile, which is the structured record assistants read first. Your review signals, which are the biggest body of text about you that an assistant can read and quote. And your content footprint, the pages that answer what people in your area are asking. Every plan works your review signals. Our top plan works all three.

Can you guarantee ChatGPT will recommend me?

No, and you should be wary of anyone who says otherwise. AI answers shift with phrasing and change without warning. What we can do is show you exactly where you stand, name the businesses being recommended in your place, and improve the inputs those systems draw on.

Is AI visibility the same as SEO?

It overlaps, but treating them as the same thing is the trap. Fewer than half the businesses that win Google's local map pack also turn up in AI recommendations. You can be the top result in your town and be completely absent the moment someone asks an assistant.

Pricing & billing

How much does VouchTrack cost?

$29 to $499 per month depending on plan, published in full on our pricing page, with no sales-call pricing games. Do It Yourself plans run $29 to $99 self-serve. Done For You starts at $299, and Enterprise is quoted. Annual billing costs less if you want it.

Is there a contract?

No. Month to month by default, cancel with one email. Annual billing is an optional discount for prepaying — and it's covered by the same 30-day money-back guarantee, so it never means risking a year's money.

Do you work with multi-location businesses?

Yes. Each location gets its own review requests, inbox, profile work and monthly report, and you see all of them in one place. Additional locations are $49 a month on Do It Yourself plans and $199 a month on Done For You plans.

How does the 30-day money-back guarantee work?

If you don't want to keep VouchTrack — any reason at all — email us within 30 days of your first payment and we refund it in full. Monthly and annual plans alike. No forms, no phone tree.

What are the text and email allowances?

Every plan includes a monthly allowance, from 1,000 emails on Starter up to 5,000 emails + 1,000 texts + 1,000 WhatsApp conversations on Standard and above. Need more? Sliders on the pricing page add extra texts at $2.50 per 100 and extra emails at $2.50 per 1,000, billed monthly, adjustable anytime.

Are there setup fees or hidden costs?

No mandatory setup fees, no onboarding fees, no “innovation fees” at renewal. Your plan price plus any message add-ons you choose is the whole bill. The only optional extra is the one-time $499 AI-optimized website build, billed separately. Hosting is $29/month, included free on the Done For You plans.

Will my price increase later?

The rate you join at is the rate you keep, for as long as you stay subscribed.

Reviews & review sites

Which review sites do you cover?

Google, Facebook, Yelp, TripAdvisor, and 85+ sites in total — including the booking apps and directories specific to your industry, like Booksy and Fresha for salons, Zocdoc and Healthgrades for dental, RepairPal for auto, and Thumbtack and Angi for home services. See the full list.

Why don't you send customers to Yelp?

Yelp's own guidelines discourage businesses from asking for reviews, so we don't send requests there — doing so can backfire. We monitor Yelp closely and answer every Yelp review, while your asks focus on Google and your industry's platforms, where requested reviews are welcome.

Is asking for reviews allowed by Google?

Yes — Google is fine with businesses asking customers for reviews, as long as you ask everyone rather than cherry-picking happy customers and never pay for reviews. That's exactly how VouchTrack operates: every customer gets asked, and unhappy ones get a private way to reach you too.

Do you write fake reviews?

Never. Fake reviews are against every platform's rules, often illegal, and a fast way to get a profile penalized. Every review VouchTrack generates comes from a real customer who chose to write it. The honest version simply works: most happy customers say yes when asked.

Is texting customers legal?

Yes, done properly. Requests go only to your own customers using compliant templates with clear identification and easy opt-out — all configured during onboarding so it's handled right from day one.
