VouchTrack ("VouchTrack," "we," "us") provides done-for-you review collection and reputation management services for local businesses. This policy explains what information we collect, how we use it, and the choices you have. We keep it in plain English on purpose.
From business customers (our clients). When you sign up or book a call, we collect your name, business name, email address, phone number, and billing information. Payments are processed by our payment provider; we never see or store full card numbers.
On behalf of business customers. To send review requests for your business, you provide us with basic information about your customers — typically a first name, a phone number or email address, and the timing of their visit. We process this information solely to provide the service to you: sending review invitations, reminders, and private feedback requests in your business's name. We do not use your customers' contact information for our own marketing, and we never sell it.
From website visitors. We may use privacy-respecting analytics to understand how our website is used (pages visited, approximate region, referral source). We do not run advertising trackers on this site.
Review requests sent by text are sent on behalf of the business you visited, using contact details and consent collected by that business. Message frequency is low — typically one message per visit, with at most one reminder. Message and data rates may apply. You can opt out of texts at any time by replying STOP, or get help by replying HELP. Opt-outs are honored immediately and permanently for that business.
We use the information described above to provide and improve the service: sending review requests, monitoring and responding to reviews with the business's approval, preparing monthly reports, billing, and support. We do not sell personal information, and we do not share it with third parties except the service providers needed to operate (messaging and email delivery providers, payment processing, cloud hosting), each bound to use it only to provide services to us.
We keep client account information for as long as the account is active and as needed for legal and accounting purposes. Customer contact details processed on a client's behalf are retained only as long as needed to provide the service and are deleted upon the client's request or account closure.
You can request access to, correction of, or deletion of your personal information at any time by emailing hello@vouchtrack.com. If you are a customer of one of our clients and want your contact details removed, you can reply STOP to any text, use the unsubscribe link in any email, or email us directly and we will remove you.
We use reputable infrastructure providers and industry-standard safeguards (encryption in transit, access controls) to protect the information we process. No method of transmission or storage is 100% secure, but we take the responsibility seriously.
We serve businesses in the United States and operate globally; information may be processed in the United States and India by us and by the service providers listed above.
Our services are for businesses and are not directed to children under 13. We do not knowingly collect information from children.
If we make material changes, we will update the effective date above and, for significant changes, notify active clients by email.
